Define the required fields

Choose how source, medium, campaign, content, and term will be used. Require only fields that support a real reporting decision. Document lowercase rules, separators, date conventions, and approved values.

Build a link registry

Generate links from a shared form or system rather than by memory. Store destination, owner, creation date, channel, campaign, and final URL. This makes duplicates and mistakes visible before launch.

Protect privacy and destinations

Do not place personal data, email addresses, internal notes, or sensitive audience labels in URLs. Validate the destination and preserve only parameters the receiving systems need.

Audit the reports

Review unknown, direct, mixed-case, and one-off values monthly. Fix the generator and training rather than endlessly cleaning reports. Keep redirects from dropping parameters unintentionally.
